These trust, legal, and policy pages are provided for transparency and may be updated as SOPSai evolves. They should be reviewed by qualified counsel before broad commercial launch.

Acceptance of Terms

These Terms of Service govern access to and use of SOPSai. By creating an account, accessing a workspace, or using the service, you agree to these Terms.

If you use SOPSai on behalf of a company or other organization, you represent that you have authority to bind that organization to these Terms.

Description of Service

SOPSai provides tools for AI-assisted SOP drafting, SOP creation and editing, SOP library management, company knowledge and context, playbooks, assignments and acknowledgements, departments, file attachments, PDF/export features, team/member management, and future AI-ready operational knowledge workflows.

SOPSai does not currently claim active external enterprise integrations unless they are separately enabled and documented for a workspace.

Accounts and Security

Users must provide accurate account information, keep credentials secure, and notify SOPSai of suspected unauthorized use.

Workspace owners and admins are responsible for managing user access, assigning appropriate roles, and removing users who should no longer have access.

Workspaces, Roles, and Permissions

SOPSai uses three primary workspace roles: Owner, Admin, and Employee.

Owners have full workspace and account control. Admins manage SOPs, departments, playbooks, assignments, and team workflows. Employees read assigned or permitted SOPs and playbooks and complete acknowledgements.

Customers are responsible for assigning appropriate roles and managing access within their workspaces.

Customer Content Ownership

Customers retain ownership of SOPs, documents, uploads, and workspace content. SOPSai does not claim ownership of customer content.

License to Provide the Service

Customer grants SOPSai a limited, non-exclusive license to host, process, transmit, display, copy, store, analyze, and use customer content only as needed to provide, secure, support, maintain, and improve SOPSai.

This license continues as needed for backups, logs, legal obligations, security, dispute resolution, and ordinary service operations.

AI Features and Outputs

AI output is draft content. Customers must review, edit, approve, and validate AI-generated SOPs before relying on them.

SOPSai does not guarantee the accuracy, completeness, compliance, legality, safety, or suitability of AI output.

SOPSai does not provide legal, HR, safety, medical, financial, compliance, or other professional advice. Customers are responsible for final SOP approval and use.

Customer Responsibilities

  • Use SOPSai lawfully and in accordance with these Terms.
  • Maintain accurate workspace data and manage user access.
  • Review SOPs before relying on them or assigning them to employees.
  • Obtain all rights needed to upload, process, and use customer content.
  • Avoid uploading regulated or highly sensitive data unless authorized and appropriately controlled.
  • Ensure SOPs match applicable laws, policies, industry requirements, safety standards, and operational needs.

Acceptable Use

  • Do not attempt unauthorized access, probing, scanning, exploitation, or bypassing authentication or authorization.
  • Do not access, alter, export, or delete another workspace's data.
  • Do not interfere with service operation, availability, or security.
  • Do not scrape, overload, or send excessive automated requests.
  • Do not upload malware, malicious files, or content intended to compromise systems.
  • Do not abuse AI generation, uploads, exports, invitations, rate limits, or trial/free usage.
  • Do not reverse engineer the service except where legally allowed.
  • Do not violate laws, third-party rights, confidentiality obligations, or intellectual property rights.
  • Do not use the service for harmful, deceptive, unsafe, or unlawful content.

File Uploads and Company Knowledge

Users are responsible for uploaded files and for ensuring they have rights to upload and use them in SOPSai.

SOPSai may reject, remove, archive, quarantine, or limit files for security, legal, size, type, abuse, or operational reasons.

Uploaded content may be used to provide SOP generation, company knowledge, attachment, search, export, and related product features.

Rate Limits and Usage Limits

SOPSai may impose limits on AI generation, file uploads, exports, invites, API requests, storage, team members, SOPs, playbooks, or other usage.

SOPSai may throttle, suspend, block, or investigate abusive or suspicious usage.

Beta and Early Access Features

Some features may be beta, early access, incomplete, unavailable, changed, or removed. Features can change before or after public launch.

Feedback may be used to improve the product, but SOPSai is not required to implement any particular request.

Plans, Pricing, and Billing

SOPSai may offer free, beta, trial, and paid plans. Plan limits, pricing, and features can change over time.

Billing may not be active yet. When payment features are enabled, payment processor terms and additional billing terms may apply.

Third-Party Services

SOPSai uses third-party providers for hosting, authentication, database, storage, AI processing, analytics, support, and payments when enabled.

Third-party terms, privacy practices, and data handling may apply to those services.

Data Export and Deletion

SOPSai may provide export, deletion, and archive tools in the product. Requests can also be sent to support@sopsai.io or privacy@sopsai.io.

Deletion may be limited by backups, security needs, legal obligations, billing records, disputes, abuse prevention, and operational requirements.

Confidentiality

Each party may receive non-public information from the other. Each party will protect confidential information with reasonable care and use it only for purposes related to the service or the business relationship.

Security

SOPSai uses reasonable administrative, technical, and organizational safeguards designed to protect the service and customer content.

No service is 100% secure. Customers are responsible for endpoint security, credential protection, appropriate user access, internal policy compliance, and content review.

Suspension and Termination

SOPSai may suspend or terminate access for violation of these Terms, security risk, abuse, nonpayment when billing exists, legal risk, harm to the service, or harm to other users.

Users may stop using the service at any time and may request account or workspace data assistance through the contact channels described in these Terms and the Privacy Policy.

Disclaimers

SOPSai is provided on an as-is and as-available basis to the maximum extent permitted by law.

SOPSai disclaims warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted operation, error-free operation, and that AI output or SOP content will be accurate or compliant.

Limitation of Liability

To the maximum extent permitted by law, SOPSai will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, business interruption, or substitute services.

To the maximum extent permitted by law, SOPSai's aggregate liability is limited to the greater of amounts paid for the service in the prior three months or $100.

Indemnification

Customer will defend, indemnify, and hold SOPSai harmless from claims arising out of customer content, misuse of the service, violation of these Terms, violation of law, or violation of third-party rights.

Changes to Terms

SOPSai may update these Terms as the product, providers, legal requirements, or business practices change. Updated Terms will be posted with a revised effective date, and material changes may be communicated through the service or by email when appropriate.

Governing Law

These Terms are governed by the laws of the State of Florida, United States, unless otherwise required by applicable law.
